The Space Dynamics Laboratory (SDL) is seeking a highly organized Conference Support Specialist to aid in the planning, coordination and execution of a large annual conference held at Utah State University August 3-8, 2024. This position is temporary and part-time 20 hours/week and up to full time in the weeks leading up to the Conference with overtime hours during the Conference. The position ends August 9, 2024.

Responsibilities:
Populating and updating the Conference Mobile App
Putting together slide shows and sponsor videos
Coordinating and sharing digital files with Utah State and Magic Productions
Assisting with management of sponsor inserts and setup for packet stuffing
Assist with ordering signage and coordinating placement on-site at the Conference
Coordinate Side Meeting and Private Meetings during the Conference
Assisting with conference set-up and take-down
Additional Office duties as assigned
Requirements:
Must be willing to work some non-standard hours, including some evenings and weekends (including the occasional Sunday)
Excellent Microsoft Office Skills (Word, Excel, PowerPoint, Outlook)
Strong attention to detail, and high organizational skills
Excellent problem solving and forecasting
Ability to work well under pressure and negotiate tense situations while maintaining a calm and professional presence
Ability to work with a high level of initiative, self-motivation and a positive demeanor
Ability to work independently and as part of a team
Ability to manage and complete multiple projects and deadlines simultaneously
Ability to communicate effectively in a clear and concise way (verbal and written)
Excellent interpersonal communication skills including the ability to foster effective working relationships with supervisor, coworkers, clients and customers
Preferred Qualifications:
Working knowledge and experience with the concepts, principles and practices of event planning
Ability to research market trends, demographics, pricing strategies, competitors and other relevant information to support the event delivery
Experience with graphic design and video software
