Los Alamos National Laboratory Professional Staff Assistant 3 in Los Alamos, New Mexico

What You Will Do

The Human Resources (HR) organization is looking for an experienced and highly motivated Professional Staff Assistant to provide expert-level administrative and operational support primarily to the Senior Director and as needed to the Deputy Human Resources Director. The position will report to the Senior Director for HR. You will manage the day-to-day administrative and operational activities of the Senior Director and Deputy Director through onsite support at the Santa Fe and Los Alamos offices when needed as well as work from home. This position requires strong customer service skills, a high degree of professionalism and self-motivation in assuming responsibility and accountability for deadlines and commitments. You must be able to work cooperatively in a dynamic and diverse office environment while maintaining a positive attitude and professional work atmosphere. Must be able to work independently and establish priorities for work completion according to deadlines, commitments, and schedules and may be called upon to support special projects and initiatives as needed.

You are expected to manage and prioritize competing demands for the Senior Director and Deputy Director and must use sound judgement in deciding when to act independently and when to involve the Senior Director or Deputy Director. You play an important role in assisting the Senior Director and Deputy Director in the punctual delivery of communications and actions including planning meetings and workshops, arranging travel, developing memos, letters, presentations, talking points, speeches, etc. You also play a coordinating and liaison role between the Senior Director and Deputy Director's office and the HR groups within the organization, other LANL leaders/offices, and LANL senior management to execute on deliverables.

What You Need

Minimum Job Requirements:

Administrative Support and Business Systems:

Extensive experience in complex calendar management, meeting scheduling and logistics. Manages schedules by setting and monitoring calendar including coordination with internal and external customers. Demonstrated experience and expertise in procurement systems. Advanced knowledge of and experience with standard software, e.g., MS Office, including management of required software for specialized functions, organizations, and/or programs. Demonstrated experience supporting senior management in document preparation and processing (will manage and prioritize all incoming and outgoing memos that need signature). Knowledge of concur or similar travel systems to arrange travel for the Senior Director and Deputy Director and submit expense reports.

Communication Skills:

Demonstrated excellent interpersonal, verbal, and written communication skills including customer service. Demonstrated experience interacting effectively with all levels of internal and external personnel, including networking with multiple organizations in areas outside area of professional expertise and strong teaming skills. Experience attending meetings, drafting agendas, compiling and distributing background documentation, taking notes and documenting of follow-up actions as needed (will manage incoming email correspondence and actions).

Personal Leadership:

Demonstrated ability to calmly manage frequent interruptions and changing priorities; complete assignments without established procedures; be available, dependable, and punctual; and effectively interact with all levels of internal and external personnel. Experience using tact, discretion, and good judgement when handling information and distributing information (will need to elevate actions/issues to the Senior Director or Deputy as needed. Demonstrated mentoring and ability to collaborate with others.

Problem Solving:

Demonstrated resourcefulness when analyzing and evaluating complex problems to arrive at successful solutions. When systems or people are not cooperative, finding workarounds to accomplish the goal at hand. Demonstrated ability to effectively manage conflicting/tight deadlines while maintaining flexibility and adaptability in the daily operation of a high-pressure office.

Organization and Time Management:

Expert-level ability to organize, prioritize, and follow through with completion of multiple tasks with strict deadlines, frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel-related information. Demonstrated record of dependability, availability, attendance, punctuality, organization of incoming work, prioritizing requests, and developing and using processes or systems to track and complete actions/tasks in a timely manner.

Education/Experience:

Position requires a bachelor's degree and 8 years of related experience, or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Active DOE Q Clearance

  • Knowledge and understanding of the Laboratory's organizational structure and policies, practices, and procedures.

Work Environment:

Work Location: The work location for this position is hybrid and is located in Los Alamos and Santa Fe, NM. Hybrid is defined as working partially onsite/partially offsite but within 2 hours ground commute of this location. All work locations are at the discretion of management and can change at any time with appropriate notice.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 Year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. Incentive Compensation Program: Position is eligible to participate in the Triad Incentive Compensation Program. You must be in an eligible position for a minimum of 3 months, before July 1st and remain in an eligible position as of the end of the fiscal year, September 30th. The annual distribution is prorated based on the number of months in the eligible position.
