Summary

The Department of Family Medicine is seeking an experienced research administrator to join our Grants Management team to support our highly productive research faculty. This position will coordinate our post-award research needs and financial transactions, and on an ad-hoc basis serve as backup for pre-award proposal submissions. The chosen candidate must be experienced, work independently in a fast-paced environment, have the ability to manage a large workload, provide high quality customer service while adhering to differing procedural guidelines, and have the ability to meet deadlines.

Responsibilities*

Post Award Responsibilities:

  • Regularly review assigned project/grants using M-Reports, Business Objects, and other tools to ensure appropriate use of all funds.

  • Complete monthly reconciliation of expenses to ensure compliance according to award guidelines and associated budget projections.

  • Update encumbrances and projections monthly in accordance with allowable budget expenses per university and sponsor regulations. Inform principal investigators of areas of concern and take action to resolve issues.

  • Prepare monthly and ad-hoc reports, illustrating revenues, encumbrances, and projected balances.

  • Prepare and process appointment change requests (PAR), budget allocations, journal entries and vouchers.

  • Assist with progress reports and post award change requests. Perform required project closeout actions including review and resolution of UG and FSR reports.

  • Closely monitor personnel project effort in accordance with university and sponsor policies.

  • Set up new awards, including sub-PGs, subcontracts, consulting agreements and cost sharing.

  • Responsible for ensuring adherence to sponsored research and university policies and procedures.

  • Project analysis including monitoring appropriateness for grant funding and allowability. Alert project directors to areas of concern. Make recommendations and take actions to resolve issues.

  • Assist with progress reports and post award change requests. Perform required project closeout actions including review and resolution of UG and FSR reports.

  • Closely monitor personnel project effort in accordance with university and sponsor policies.

  • Set up new awards, including sub-PGs, subcontracts, consulting agreements and cost sharing.

  • Responsible for ensuring adherence to sponsored research and university policies and procedure.

Pre-Award Responsibilities:

  • Serve as department backup supporting the Pre-Award Grants Management team in preparing research proposal submissions to federal and non-federal sponsors.

  • Manage budget preparation and administrative portion of proposals, ensuring all sponsor and university guidelines and deadlines are met.

  • Support the internal routing process through eResearch to route the Proposal Approval Form (PAF) and relevant proposal documents through institutional review.

  • Review applications for compliance with sponsor, university, and department policies. Follow through when proposal changes are needed.

Required Qualifications*

  • Bachelor degree or equivalent combination of education and work experience.

  • Demonstrated ability to think through and anticipate departmental needs

  • Proven ability to work well with others especially under pressure of deadlines

  • Ability to work well independently and in teams

  • Demonstrated knowledge of compliance issues particularly having an in-depth knowledge of Uniform Guidance compliance

  • Proven ability to analyze data

  • Excellent interpersonal and problem-solving skills

  • Demonstrated initiative identifying and following through on critical tasks

  • Ability to make independent decisions

  • Experience with financial management and account reconciliation

  • Prior experience with contract and grant administration or relevant experience in a comparable environment with tight regulatory and compliance requirements.

  • Ability to absorb and disseminate sponsor, university, and department policies and procedures

  • Demonstrated experience with financial review and analysis. Mastery of Excel and ability to adapt to changing technology and practices.

  • Ability to organize and synthesize complex information about financial aspects, resulting in clear and comprehensive summaries.

  • Prior experience in an academic setting with contract and grant administration along with regulatory and compliance accounting requirements.

  • Knowledge of and ability to communicate federal funding guidelines, policies and procedures related to sponsored research. Demonstrated experience with financial review and analysis. Competent in developing and refining reports, along with experience in transactional processing of general financial activities; ability to work under pressure of deadlines and complete tasks in a timely manner.

  • Excellent interpersonal skills. Ability to communicate effectively, both in verbal and written form. Superior organizational skills, including high level of accuracy and attention to detail while exercising good judgement.

  • Able to work independently or collaboratively as a part of a team.

Senior - minimum of 5 years of progressively responsible experience in finance and research administration.

Intermediate - minimum of 3 years of progressively responsible experience in finance and research administration.

Desired Qualifications*

  • Master's degree - finance/research or related degree;

  • Research administration certification from an accredited organization;

  • Familiarity with university policies and procedures related to sponsored projects.

  • Experience with administrative and business tools such as M-Pathways, Business Objects, financial reporting, MReports, eRPM and Concur.

  • Prior experience with federal and foundational funding.

  • Knowledge of policies and procedures in the areas of sponsored projects, human resources, procurement, and travel/hosting. Higher level knowledge of accounting principles and applications.

Work Schedule

This position will be fully remote. Hybrid options are also available.
